What Is Email Sequence?

A series of pre-written emails sent to a prospect over time, with each email building on the previous to move the prospect toward a conversion action.

An email sequence (also called an email drip campaign or outreach sequence) is a series of pre-written emails sent to a prospect at scheduled intervals, each designed to advance the relationship toward a conversion. In cold email outreach, a sequence typically starts with the initial cold email and includes 3–5 follow-up emails.

Why sequences outperform single emails

Cold email research consistently shows that 50–70% of replies in a campaign come from follow-up emails, not the initial outreach. A single cold email reaches prospects at one moment in time — they may be in a meeting, on holiday, or simply not paying attention to email that day. A multi-step sequence increases the number of moments when you can capture their attention.

Anatomy of an effective 5-step sequence

  1. Email 1 (Day 0): Personalised opener — specific observation about their business, what you do, soft CTA
  2. Email 2 (Day 4–5): New angle — different value proposition, industry insight, or relevant content
  3. Email 3 (Day 9–10): Social proof — specific case study or reference from a comparable company
  4. Email 4 (Day 14): Low-barrier offer — resource, audit, template, or minimal-commitment CTA
  5. Email 5 (Day 18–21): Breakup email — explicit close, give them an out, leave the door open

Sequence personalisation

Effective sequences vary the angle, tone, and content at each step — they are not repetitions of the same message. Each email should be readable as a standalone message in case the prospect missed the previous emails.

Stopping the sequence

Any reply from the recipient — positive, negative, or out-of-office — should immediately pause the automated sequence. Continuing to send automated follow-ups after a prospect has replied is one of the most common and damaging mistakes in cold email automation.
